We’re Hiring: Office Coordinator and Marketing Assistant

StudioMLA Architects, an award-winning 20-person design studio, specializes in quality educational and sustainable design for children and communities. Conveniently located in Brookline Village, we are an innovative and collaborative group of architects, landscape architects, interior designers and planners. We are looking for a dynamic part-time (approx. 25 hours/week) professional to coordinate office processes and assist our Marketing Coordinator in our marketing efforts to grow our firm and maintain a strong firm identity. The position could eventually grow into a full-time position.

Education/Experience

  • 1-2+ years with a professional services organization, preferably in the AEC industry
  • Bachelor’s Degree (B.A) preferably in Marketing, Communications, Business or a related field but equivalent combination of education and experience will be considered
  • Experience researching, writing and producing business proposals and presentations

Responsibilities

  • Office Coordinator
  • Perform traditional office tasks such as answering phones, receiving clients and vendors, keeping the office organized and neat
  • Be a go-to person for team members with general office questions (including computers, phones and printers)
  • Organize lunch and learn and happy hour events
  • Maintain the office calendar and communicate events and meetings to team members
  • Assist with the organization of Office events (holiday celebrations; volunteering opportunities)
  • Assist HR with on-boarding new hires
  • Maintain systems and resources: online and physical filing systems, supplies and stationary
  • Coordinate Zoom and other teleconferencing platforms

Marketing Assistant

Assist the Marketing Coordinator with:

  • Maintaining and updating the firm’s CRM database
  • Researching, designing, writing and producing materials for RFPs and RFQs including fact sheets, staff résumés, and other project related materials
  • Producing advertising, marketing and event materials
  • Organizing project photo shoots; potentially assisting the photographer on site
  • Developing and maintaining a social media presence (Facebook, Twitter, LinkedIn, Instagram, and other platforms)
  • Maintaining and updating our firm’s website
  • Creating print materials such as holiday cards, postcards, brochures, business cards, etc
  • Producing a quarterly email blast

Skill Set and Software Proficiencies

  • Ability to work effectively independently and as part of a team
  • Excellent oral and written communication skills
  • Excellent organization skills
  • Ability to manage time to meet multiple deadlines and ability to establish priorities with little supervision
  • Proficiency with Adobe InDesign and Photoshop
  • Proficiency with MS Office Suite, word processing graphics, spreadsheets and database software applications (Word, Excel, PowerPoint)
  • Proficiency with Google Suite/Workspace (Google forms, Google docs, etc)
  • Proficiency with CRM software, knowledge of Hubspot a plus
  • Highly adaptable to new technologies and computer savvy
